Lisa Scheff Designs is seeking an experienced ProjectManager to join our growing team. This person will work closely with ourcurrent Project Manager, Elaina, and collaborate with our designers, operationsteam, contractors, trades, vendors, and clients to bring our full-servicedesign-build projects from planning through construction, installation, andcompletion.
Lisa Scheff Designs is a full-service interior design-buildfirm based in Longmeadow, Massachusetts. We serve clients throughout WesternMassachusetts, Northern Connecticut, and surrounding areas. Our projects ofteninclude construction, custom cabinetry, finish selections, furnishings,procurement, installation, and final styling.
The ideal candidate is an excellent communicator andproblem-solver who can confidently manage schedules, documentation, job-sitedetails, and day-to-day coordination across multiple active projects.
This is a hybrid position that includes remoteadministrative work, occasional time in our Longmeadow office and Enfieldwarehouse, and regular travel to project sites.
Responsibilities
Project Planning and Scheduling
- Work alongside Elaina to plan, organize, and manage multiple residential design-build projects.
- Create and maintain detailed project schedules, construction timelines, decision deadlines, and task lists.
- Develop Gantt charts and other project-management documents as needed.
- Track project milestones, dependencies, open decisions, and outstanding action items.
- Help ensure projects are sufficiently prepared before construction, delivery, and installation begin.
- Identify potential scheduling conflicts, delays, or project risks and communicate them to the appropriate team members.
Construction and Job-Site Coordination
- Serve as a primary point of contact among the design team, clients, contractors, subcontractors, vendors, and trades.
- Attend contractor walkthroughs, construction kickoff meetings, job-site meetings, and project installations.
- Conduct regular site visits to monitor progress, document conditions, and help resolve issues.
- Coordinate contractor and trade schedules, site access, delivery dates, installation dates, and project sequencing.
- Follow up with contractors and trades to keep work moving according to the approved scope and schedule.
- Document site conditions, progress, decisions, changes, delays, and outstanding items.
- Communicate field questions and construction issues to the design team before work proceeds when clarification is required.
- Assist with the creation and management of construction punch lists and project closeout items.
Project Documentation
- Work with the design team to prepare and maintain construction binders and digital project files.
- Help coordinate construction drawings, schedules, approved selections, specifications, scopes of work, and contractor documentation.
- Confirm that contractors and trades are working from the most current approved documents.
- Maintain organized records of client approvals, contractor questions, field decisions, schedule updates, and project changes.
- Assist with reviewing contractor and trade quotes for exclusions, allowances, inconsistencies, and missing information.
- Help coordinate and document change requests that may affect the project scope, schedule, or budget.
Client and Team Communication
- Provide clients with clear and consistent project updates.
- Respond professionally and promptly to client, contractor, and vendor questions.
- Set clear expectations regarding schedules, construction progress, delays, decisions, and next steps.
- Keep Elaina and the broader design team informed of project progress and emerging issues.
- Participate in internal project handoff meetings and weekly project-management meetings.
- Build positive working relationships among clients, contractors, trades, vendors, and internal team members.
- Communicate calmly and professionally when addressing challenges, delays, or sensitive project issues.
Installation and Project Completion
- Coordinate with the design, procurement, warehouse, and operations teams to confirm that projects are ready for delivery and installation.
- Assist with scheduling movers, installers, contractors, vendors, and specialty trades.
- Confirm job sites are clean, accessible, protected, and ready before furnishings or materials are delivered.
- Participate in installations, client walkthroughs, punch-list reviews, and project closeout.
- Track outstanding items through completion and ensure responsibilities and deadlines are clearly documented.
Additional Responsibilities
- Support cabinetry, construction-document, or specification coordination based on experience and project needs.
- Learn and use the firm’s project-management, design, communication, and documentation systems.
- Assist with improving project-management processes, templates, and internal procedures.
- Take on additional project-related responsibilities as assigned.
Qualifications
- Minimum of three years of experience in residential construction, renovation project management, interior design project management, architecture, or a closely related field.
- Bachelor’s degree in construction management, business, communications, interior design, architecture, or a related field preferred.
- Working knowledge of residential construction processes, project sequencing, and contractor coordination.
- Experience managing multiple projects, schedules, deadlines, and stakeholders simultaneously.
- Reliable transportation and the ability to travel regularly to job sites throughout Western Massachusetts and Northern Connecticut
PreferredExperience
- Experience working for an interior design, architecture, residential construction, remodeling, or design-build firm.
- Experience reading or coordinating construction drawings and specifications.
- Familiarity with cabinetry, kitchens, bathrooms, lighting, finish materials, furnishings, and custom residential projects.
- Experience with project-management or design software.
- Familiarity with Design Smart, QuickBooks, Microsoft Visio, 2020 Design, SketchUp or similar programs is helpful but not required.
- Experience managing luxury residential clients or complex, highly detailed renovation projects.
